How to Get Organized as a Paralegal
Being organized is crucial for paralegals because you are responsible for managing and organizing large amounts of information and documentation for clients and attorneys. The legal field is known for its high volume of paperwork, deadlines, and client files, which require careful attention to detail and a well-organized system to manage effectively.
Paralegals are often required to work on multiple projects simultaneously, which can lead to confusion and missed deadlines if you are not organized. Having an efficient system in place for managing tasks and deadlines can help paralegals stay on track and avoid last-minute rushes to complete assignments. Here are three tips to help you stay organized as a paralegal:
Have a clean desk and designated work area
Many paralegals might have the opportunity to work remotely, so having a dedicated work area will help your brain switch into work mode quickly. This space will help you focus longer and keep non-work-related clutter out of the way. Don’t ever let paperwork pile on your desk (see #3), and file immediately. Helping your attorney keep an organized workspace is also important. Don’t place things on your attorney’s desk without them knowing about it first.

There are many different task management systems available, such as Trello, Asana, or Todoist. These systems allow you to create tasks, set deadlines, and assign tasks to different team members. You can also add notes and attachments to tasks, so you have all the information you need in one place. If the management system seems too complex, keeping a running electronic to do list and detailed calendar is vital.
Develop a concise and efficient filing system
A well-organized filing system can help you find documents quickly and easily, reducing the time you spend searching for information.
There are many ways to organize files, but one common method is to use a system of file folders or binders. You can organize files alphabetically, chronologically, or by subject matter. Whatever system you choose, make sure it is easy to use and easy to maintain. Working with your attorney to make sure they know the filing systems works for them is an important first step.
